The Form Template Dashboard

The Form Templates Dashboard is where users to manage, create, edit, and organize form templates efficiently.

The Form Template Dashboard Explained
There are three major areas of the dashboard:
- Sidebar Navigation- this is where you can create Groups and update Settings for templates.
- Header- this is where you can Search, Import, and Add New form templates.
- Template list - this is where your form templates are displayed.
Further details of each section are explained in the numbered tabs.

All Form Templates Displays all available form templates within the system. Â Groups Displays all Form Template groups. You can add and edit groups from this area. Â Settings Quick access to change how Jobs and Work Orders display on Forms. |

The Header of the Form Template dashboard is where you can navigate your Form Template Groups as tabs, Search, as well as Import and Create a New Form Template.Â

3. Form List

The Template list will display the details of your Form Templates. 1.Name - Date Created: This is where the name of the template as well as the date it was created is recorded. 2. Created By - Linked Entity: This is where the name of the user who created the template will display - forms created by Prestart on signup will display no name. 3. Status: This will display as In Progress while the template is active. 4. Actions: Click the Edit pencil to adjust a template. Click the Delete rubbish icon to remove the template. Click the Favorite star icon to add the template to your Favorites list -adding it to the submenu of the Forms module as well. |
Form Template Group
Setting up Form Template Groups is a simple way to organise the type of form templates your business has access to.
Create a new Form Template Group

To create new Form Template Groups, from the Form Template Group dashboard, click the Add button in the upper right corner.
From the Add New screen, enter the name of the Group and click Create.
Edit a Form Template Group
From the Form Template Group dashboard, click the Edit pencil icon next to the Group you wish to edit.
From the Edit screen, you update the Name, Rank, Version, and Icon fields.
The Rank, Version, and Icon fields are only used for legacy content and may not reflect on your Form Templates.
Form Template Setting
The Form Template Setting area is where you adjust the Jobs and Workorder fields for your Form Templates.
These settings control what text is displayed in the Linked To section for either a  Job or Workorder.Â
Job and Workorder Formats

The Form Template Settings area is where you decide on the level of detail visible on a form in the Linked To section.
Below are all available options for Job and Work Orders.

Form Template Details
Each Form Template is comprised of nine different tabs.
These sections are available only when viewing the template, not while editing it.
Action Buttons

The Actions area of a Form Template provides a quick way to mark a template as a Favorite.
It is also where you can Duplicate, Export, Edit, and Delete a form.Â
Information

The Info tab of a Form Template provides high-level detail of the template.Â

1. InformationÂ
Name:Â
This is how users will find and see the Form in Prestartr.
Created By:Â
This is the name of the user who created the template.
Linked To:Â
This is the Prestartr Module that the form template is linked to - determining information it can access.
Notify Users on Creation or On State Change:Â
If enabled, will send a notification to users when the form is created or changed.
2. Template Group:Â
This will display all Groups that are assigned to this Template.
3. Form PDF Export:Â
This will display the Label Width setting for this specific for when exported as a PDF.
Fields

The Fields tab of a Form Template is where the actual elements of the form are listed.
Each element will have an ID, Name, Position (1) , Type, and Label (2).
Forms

The Forms tab of a Form Template will display the forms created from the template.
It includes the Name, Date Created, Created By User, Linked Table, Linked Entity, Status, as well as the View icon.Â
- Date Created:Â Highlighted by default - you can click up/down arrows on each column to sort the list of Forms.
- Status: The form status is listed here - a quick way to see if something is waiting to be finalised.
- Quick View: Click the magnifying glass icon to view the attached form.
Workflows

The Workflows tab of a Form Template is where you view and add Workflows to your Form.

Previous State > Next State:Â
This describes the Status that the form will transition from, should it meet the requirement.- This form, saved as a Draft, will be moved to the Submitted status when the Submit button is clicked.
- This form, when Submitted, will move to the Approved status when Approve button is clicked. Â

Actions:Â
This is where you can Edit via the pencil icon or Delete a Workflow via the rubbish icon. -
Add New:
This is where additional Workflows can be created.

Tabs

The Tabs section is where you control what tabs are available to the form when being viewed in the Office interface.
These tabs can be linked to specific form templates, making them areas where those forms are collated in one place.
Register

The Register tab of the Form Template is where you create and manage the Training Record Register for this form - controlling what fields are displayed when exporting the form as a Register.

Add/Edit:
This is where you add or edit the fields that will be visible on the form when exported as a Register. -
Register Details:
When adding a register to a form, you create named fields that are linked to specific parts of the template. -
Register Size:
This determines the size of the column width when exporting the Register to a CSV.

Display

The Display tab of a Form Template is where you setup what critical information will display when this form is added as a Subform.

The Mail tab of a Form Template is where you setup the details for sending email notifications about this form.

Edit:Â
Click the Edit pencil to add or edit information in the Email Details, Mail To, or Defects Details sections. -
Email Details:Â
This is where you record the email Subject, Body, and Reply To.Â
You can also select which Workflows send the email. -
Mail To:Â
This is where you select specific form fields from the template to be included in the email. -
Defects Details:
This dropdown is where you select the User who will be notified for any Defects related to this form template.
Sharing

The Sharing tab of a Form Template is where you enable or disable the functionality of sharing the form with 3rd Party individuals through a unique web address. This is useful for enabling Subcontractors who do not have access to Prestartr to record relevant information on forms such as your Site Diary or Prestarts.
- Enable/Disable: This button will say Enable if sharing is disabled or has never been enabled. While active it will say Disable Sharing.
- Public URL: When marked as shareable, the template will generate a unique URL to the form. Use this to provide access to the form.
- Email - Update Emails - Bulk Generate URL: This is where you enter the email addresses of those you want notified when the form is submitted by a 3rd party as well as Bulk Generating URLs for Plant - this is how you link a Prestart or other form to a plant directly, preventing exposure of information to public users.
