Payroll Rules Configuration
This guide explains how to set up payroll rules to properly manage employee payments across different types of work and conditions.
A clear hierarchy of user groups is needed to organize and apply the correct rules.
Payroll rules might include the following:
- Limits - maximum regular hours before overtime rates apply.
- Shift Rules - different pay rates depending on the time and day of work (e.g., evening vs. day shifts).
- Daily/Hourly Rules - breakdowns like standard daily hours, overtime triggers, and escalation of pay rates after certain hours.
You can also configure:
- Additional Payments like allowances (e.g., meal or tool allowances) and reimbursements.
- Public Holiday Rules for both worked and non-worked holidays, detailing how hours and rates are treated.
- Shared Rules across groups to avoid duplication where possible.
Payroll Rule Types
There are currently nine different types of Payroll rules available:
- Hourly
- Shift
- Weekly
- RDO
- Allowance
- Public Holiday
- Public Holiday Shift
- Leave
- Job Site Allowance
Below you will find the details of the five default rules that come preset with each Prestartr.

Hourly

Main Setting
The Default hourly rule is a universal rule, not specific to any Job or individual person or group.
It is set against all Employee types.
Rule Setting
The Base Hourly settings dictate that the Base Hourly rate is applied for a maximum of 7.6 hours.
The Overtime x 1.5 settings dictate a maximum of 2.0 hours, after the Base Hourly has been reached.
The Overtime x 2 settings dictate a maximum of 20 hours, after the Overtime 1.5 has been reached.
The Other settings has a maximum of 8 hours. As a Priority 4 - this only applies when specifically selected by a User.
Leave

Main Setting
The Default Leave Rule is a universal rule, not specific to any Job or individual person or group.
It is set against all Employee types.
Rule Setting
The Default Personal Leave settings indicate that the Personal Leave type will be used, Monday through Friday, with the minimum and maximum values being 7.6, the duration of the average working day.
These settings are mirrored for the Default Annual Leave, which uses that specific leave type instead.
Public Holiday
Main Setting
The Default Public Holiday Rule is a universal rule, not specific to any Job or individual person or group. It is set against all Employee types.

Rule Setting
The Public Holiday settings dictate that the Public Holiday payroll category rate is applied for a duration of 7.6 hours.
Shift
Main Setting

The Default Shift Rule is a universal rule, not specific to any Job or individual person or group. It is set against all Employee types.

Rule Setting
The Default Morning settings dictate that the Base Hourly rule is applied for Monday through Friday, from Midnight until 6:00am - under the Default Overtime x1.5 Payroll category.
The Default Day settings dictate that the Base Hourly rule is applied for Monday through Friday, from 6:00am until 6:00pm - under the Default Base Hourly Payroll category.
The Default Night settings dictate that the Base Hourly rule is applied for Monday through Friday, from 6:00pm until midnight - under the Default Overtime x2 Payroll category.
The Default Saturday settings dictate that the Base Hourly rule is applied for Saturday only, from midnight until midnight - under the Default Overtime x1.5 Payroll category.
The Default Sunday settings dictate that the Base Hourly rule is applied for Sunday only, from midnight until midnight - under the Default Overtime x2 Payroll category.
Weekly
Main Setting
The Default Leave Rule is a universal rule, not specific to any Job or individual person or group. It is set against all Employee types. A Weekly rule can be either Weekly or Fortnightly.

Rule Setting
The Base Hourly Weekly Rule settings dictate that the Base Hourly rate is applied for a maximum of 10,000 hours.
The Default Overtime Weekly Rule settings dictate a maximum of 100,000 hours, after the Base Hourly has been reached.

RDO

The RDO Rule is a universal rule, not specific to any Job or individual person or group. It is set against all Employee types.
This rule will accumulate an amount set by the RDO Percentage and RDO Calculated Type against the selected Accounting Categories. You can set the minimum duration of an RDO with the Min Value.
Allowance

The Default Allowance Rule is a universal rule, not specific to any Job or individual person or group. It is set against all Employee types.
The Daily Travel Allowance settings dictate that the payroll category of “Daily Travel Time Allowance” is selected with a minimum value of 1.0, a maximum value of 1.0 that can occur daily, Monday through Sunday.
Public Holiday Shift

The Public Holiday Shift Rule is a universal rule, not specific to any Job or individual person or group. It is set against all Employee types.
The Public Holiday Shift settings dictate that the Default Hourly rule is applied for Monday through Sunday, from 9:00am - 5:00 pm, under the Default Overtime x2 Payroll category.
Job Site Allowance

The Job Site Allowance Rule is not a universal rule, it requires a specific to any Job to be set. It is set against all Employee types. The Payroll Category/Rate determines the allowance, the Rate Per Hour determines the amount accrued and the Days sets when the job site allowance is applicable. Lunch Included is a toggle to include or exclude any lunch time recorded as accruing this allowance as well.
