Finance
The Finance Catalogue controls the Account Codes and the defaults for Invoices, Purchase Orders, Quotes, Purchase Requisition, and Cost Estimates in the Finance module.
Account

The Account section of the Finance Catalogue is where you can view, edit, and delete Accounts.
Accounts are used adding lines to an Invoice.
Add a New Account
Click the Add button in the upper right.
Give it a Name and Code. Click Save.
Edit/Delete an Account
Edit an Account
Click the Edit button in the upper right.
Update the Name and Code. Click Save.
Delete an Account
Click the rubbish icon to Delete an account. You will be prompted to confirm.
A deleted account cannot be retrieved.
Invoice Setting
The Invoice Settings is where you can define the Default Invoice Line Headers as well as preset Invoice PDF details.
Default Invoice Line Headers
Click the Add button to add a new Line Header. Type the details in the Header Name field, then click Save Setting.
You can delete a header name by clicking the X icon to the right of the Header Name.
Invoice PDF Details

This section provides fields to set default text for PDF files generated from an Invoice.
- Account Name
- BSB
- Account Number
- PayID
- Details
The Details field will display under the Totals, and the other fields are displayed in the bottom left corner of the PDF file.
PO Setting
The Purchase Order Settings is where you can define the Default Purchase Order Line Headers as well as preset Export details.
Purchase Order Settings

You can enable showing the Contact Number.
The Sales Catalogue Type can be switched between Product, Services, or Product & Services.
The Supplier Field is a multiple choice checkbox where you can decide which information will be displayed under the Supplier field on a Purchase Order - options include Customer, Supplier, and Subcontractor.
Purchase Order Mandatory Fields is a multiple choice checkbox where you can mark specific PO Fields as mandatory.
Default Purchase Order Line Headers

Click the Add button to add a new Line Header.
Type the details in the Header Name field, then click Save Setting.
You can delete a header name by clicking the X icon to the right of the Header Name.
Purchase Order Line Section
You can set specific fields as mandatory when creating a new line on a purchase order.
Export PDF Details
This section provides fields to set default text for PDF files generated from an Purchase Order.

- Attention To
- Delivery Address
- Contact Number
- T&Cs
The contents of the T&Cs field is located directly below the checkbox - fill out the text field as desired and click Save Setting to confirm them. Your Terms and Conditions will be attached as a second page to the exported PDF.

Quote Setting
The Quote Settings is where you can define the Default Quote Line Headers.
Default Quote Line Headers
Click the Add button to add a new Line Header. Type the details in the Header Name field, then click Save Setting.
You can delete a header name by clicking the X icon to the right of the Header Name.
Purchase Requisition Setting
Spending Limit

Purchase Requisitions can have a set threshold for individual users.
Click the Add button to create new Spending limits for a User.
Fill out the Name, Limit, Awaiting Status, and select the affected Users from the available list.
You can Edit a spending limit by clicking the Pencil icon and you can Delete a limit by clicking the Rubbish icon.
Status

From this area you can edit the available statuses that can be used on a Purchase Requisition.
Click the Edit button to make changes.
While in Edit Mode, you can Add, Edit, and Delete statuses.
The left column is the name of the Status and the drop-down on the right is the available statuses.
Setting
The Settings is where you can define the Default Purchase Requisition Line Headers.

Click the Add button to add a new Line Header. Type the details in the Header Name field, then click Save Setting.
You can delete a header name by clicking the X icon to the right of the Header Name.
Cost Estimate Setting

Settings
Within the Cost Estimate Settings you can set the next Cost Estimate Number, which Fields will be displayed, build a Custom PDF Footer, and select columns to hide, on your Cost Estimates.
Templates
You can create, edit, and delete Cost Estimate Templates from this section.
Click the Add button to add a new template

When creating a new Cost Estimate Template, you can define the following:
- Line Header
- Catalogue Type
- Service
- Description
- Quantity
- UOM
- Unit Price
- Job
- Cost Code
- Cost Type
- Plant
- People
