Set up a Plant Service Register

Set up and maintain regular plant servicing in Prestartr.

Purpose of a Service Register

The Plant Service Register in Prestartr is intended as a dashboard where you can manage and action the maintenance and service requirements of your plant, assets, and other vital equipment. 

From the Service Register Dashboard you have easy access to the following:

  1. Expected Due Dates for Plant and Equipment
  2. Current Odometer readings for each machine
  3. Next Service Due records
  4. Skipping of a Service as needed
  5. Creating Work Orders for service needs

These functions require a Service Register that is fully setup to be function - lets cover what that requires.

Service Register Considerations

Before setting up your Prestartr Plant Service Register, you might want to consider the following:

  • What maintenance do you need to track and how often should it occur?
  • What tasks are included in each service?
  • What documentation is needed: 
    Checklists, compliance tracking, specific documentation of service?
  • Does a Service Cycle have an allocated budget?

The critical prerequisites for a successful Service Register includes Form Templates* and an up to date Plant Register

 

*If you outsource the maintenance of your plant Externally, the Form Templates may not be required.
Your Prestartr setup consultant will help you with a specific setup as needed.

How to setup a Service Register

Once you have configured your Form Templates and your Plant Register  is up to date, follow the instructions below to set up your Plant Service Register. Each step is broken further down in it's numbered tab.

Setting up a Plant Service Register

Create Service Cycles
Define the maintenance type, name the cycle, and set its steps.

Set Up a Service Schedule
Assign a name, interval unit (e.g., hours, km), interval length, and duration. 
Select a Service Cycle from your list.

Attach a Service Form & Budget
Select a pre-created Service Form template and assign a budget to the schedule.

Assign to Assets
Select the specific assets that will follow this schedule.

Record Asset Information
Enter odometer readings and last service dates for accurate tracking.

1. Cycle

From the Catalogue, navigate to the Service Cycle menu. Click the Add plus in the upper right.

From the Add Service Cycle menu, provide a name to the cycle and use the Add plus to add steps to the cycle.

Each step will be performed on each subsequent service.

Click Create Service Cycle.

 
 

2. Schedule

From Catalogues, navigate to the Service Schedule menu.

Click the Add plus icon in the upper right.

Provide a the required details and click Create Service Schedule.

Service Schedule Fields

  • Name - the identifying name of the schedule.
  • Interval Unit - how the schedule is measured - Per Hour, Per Day, Per Week etc.
  • Interval - How many of the interval units are needed.
  • Duration - The amount of days between service.
  • Service Cycle - The cycle created with a number of steps.
 

Once you have added the Service Cycle, an additional field becomes visible.

The Selected Template is where you will select the Form Template you have created for this service.

You can assign a budget to multiple sections such as lubricant and labour here.

Click Create Service Schedule.

 
 

3. Forms

The Selected Template is where you will select the Form Template you have created for this service.

4. Plant

After creating the schedule, you can update the schedule to include specific Plant.

Click Update Service Schedule.

Navigate to the Plant module and click on the specific plant you added to the schedule.

From the Service tab, click Add Manually to set the current odometer.

Alternately you can Create New Service Record to record the previous service dates and to set the next service dates. 

 
 

5. Updates

The final step is to set or update the Last Service Date for these plant.

You can either do a Manual update - or a Import Update for your plant.

Manual Update

From the Plant module, edit the specific plant you wish to update, and navigate to the Service tab.

From the Service tab, click Create New Service Record.

From this menu update the details of the most recent service for this plant - this is where the Service Register will begin to populate the next step and dates of the next scheduled service.


 
 

Import Update 

From the Plant module, click the Import/Export button and select the option for Import Plant Service Sample. This will download the required template as a CSV file.

Update the template fields for every plant you wish to update the service register for.

Below are the fields of the template:

  • Id (Leave this field blank)
  • Plant ID
  • Date Completed
  • Serviced By
  • Servicing Cost
  • Odometer Reading
  • Engine Type
  • Service Schedule
  • Service Step
  • Next Service Due Date
  • Next Service Due Odometer
  • Comments
  • Company

 
 

Now that you have update the Plant with the correct details, it will populate your Service Register with it's next service.

 
 

Exporting Service Register Details

In the upper right corner of the Service Register, the two icons to the left of Collapse All are the export options for Export to Excel and Export to CSV

After clicking one of these button, you will be provided a Column Selector window to select what is on the exported file. 

Click the Save icon to export your file.
